Creating and Managing Agreements on Kenko

In this video, let's see how to create and manage agreements on Bookee. Agreements can range from anything between a liability waiver which we would like the customers to sign when they sign up with our studio or it could be a membership agreement which gets triggered to the customers providing them the details of the membership, the pricing, the billing cycles, which they can sign when they purchase a membership. Similarly, we can set up an agreement for courses as well.
Navigate to Settings: Go to settings and agreements.
Create a New Agreement: Click on "New Agreement".
Set Up Agreement Details:
Name and Description: Enter the name and description of the waiver. Adding a description can help reference them easily if you have multiple agreements.
Rules of the Waiver: Define the rules of the waiver or the agreement.
Agreement Template: Set up the agreement itself which would act as a template for future agreements.
Email Content: Define the content of the email that gets triggered to the customers.
Where the Agreement Applies:
For a multi-location business, set up agreements for each particular location.
If the same agreements apply across all locations in a region, choose the second option.
If the same agreements apply across the whole business, opt for the third option.
Example: Setting up a waiver for Studio Madison location only.
Trigger for Sending the Agreement:
On Sign Up: Triggered when a customer signs up with the studio for the first time.
On First Purchase: Triggered regardless of which membership the customer purchases.
On Purchasing a Subscription:
First time a subscription is purchased.
Every time a subscription is purchased.
Select which subscriptions apply for this particular agreement.
On Purchasing a Credit Pack:
First purchase or every purchase.
Define which credit packs would be included.
On Purchasing a Course:
Define which courses are included as part of this agreement.
Set up multiple waivers for each course or a generic waiver for all course purchases.
Agreements can be sent via email after the trigger criteria is met or they can be in flow so that the agreement pops up in the website or app when the trigger criteria is met.
Define what the agreement needs to look like. Use dynamic tags to customise the agreement such as adding a tag for the contact's name, their membership or course details, signature, and so on. Depending on the trigger chosen under rules, there are different sets of dynamic tags.
Define what the email should look like if the agreement is triggered by email. Enter the subject line and the body.
Save your agreement as a draft or create the agreement. Once the agreement is created, you can edit certain fields, such as changing the email body or editing the agreement itself and adding a new version. You also have the option to resend the agreement to all customers who previously signed the agreement so they can sign the latest version again.
