Booking Settings and Policies Configuration

Hi, today we will go through the booking settings in general settings. Follow these steps to configure your booking settings and policies:

Access General Settings

You can access the general settings from here and then go into bookings. Bookings are very important because there are multiple settings that are necessary.

General Settings

For the first video, I will talk about the general settings:

  • Calendar View: Set how long the calendar shows the events. This is also synchronized with your app and website.

  • Booking Start From: Set up your pricing options, frequency restrictions, and cancellations.

  • Service Categories: Create a new service category for filtering, which your clients can use.

Cancellation and No Show Policy

Here is how you create a new policy:

  • Decide if you want the member to cancel booking anytime without any charge (not ideal).

  • Set a free cancellation period, e.g., a member can cancel a booking without any charge 6 hours before the class or appointment.

  • If the member has unlimited credits, charge them $20 as a cancellation fee because you cannot charge them booking credits.

  • If the member has limited credits, you can either charge the booking credit or:

    • If the member pays by quick pay, there are three options:

      • Charge the full booking amount.

      • Charge a cancellation fee and refund the booking amount.

      • Charge a percentage of the booking amount as a cancellation fee and refund the booking amount.

No Show Policy

The no show policy is very similar:

  • If a member has unlimited credits, charge a no show fee.

  • If a member has limited credits, charge a no show fee of $10.

  • If the member pays by quick pay, there are three options:

    • Charge the full booking amount.

    • Charge $20 for the no show fee.

    • Charge 20% of the booking amount for the no show fee.

Policy Document

Lastly, you need to write your policy document, which is shown to the clients when they are canceling your class or appointment. This document should include details about heavy charge cancellation fees and no show fees if they cancel before the class.
