How to Define Roles and Privileges for Staff on Bookee

In this video, we will learn how to define roles and privileges for our staff on Bookee. Follow these steps to set up roles and permissions effectively.

Step 1: Access Roles and Privileges

  1. Navigate to the Settings section.

  2. Select Roles and Privileges.

  3. Here, you will see a few predefined roles. Click on Edit to view and modify the permissions for each role.

Step 2: Define Permissions

Let's walk through the different permissions you can set:

  • Contacts and POS: Allows staff to access and make changes to customers, and sell memberships, courses, or products. Disabling this removes their access to edit customers and sell items.

  • Operations: Provides access to the calendar. Enabling this allows users to book customers into events and view the calendar.

  • Tasks and Permissions: Allows users to edit, view, and add tasks. This can be limited to roles like Owner, Admin, or Front Desk.

  • Marketing: Enables users to run and edit marketing campaigns. This can be restricted to roles like Marketing Consultant or Owner.

  • Reports: Allows users to view and download various reports. This can be limited to roles like Financial Analyst.

  • Admin Settings:

    • Settings: Controls access to crucial business settings. Limit this to a few trusted roles.

    • Setup: Allows modification or addition of services, memberships, discounts, products, and staff management.

    • Roles and Privileges: Controls who can change roles and permissions. Limit this to a few trusted roles.

    • Account and Billing Access: Allows changes to the Bookee subscription, like adding an SMS pack.

  • Inbox: Provides access to interact with customers via the Bookee Inbox.

  • Website Builder: Allows modifications to the website if using Bookee's Website Builder.

  • Business App Settings: Controls access to add/edit events and view other instructors' events on the business app.

  • Show Contact Details: Limits who can see customers' phone numbers and emails for data privacy.

Step 3: Assign Roles to Staff

  1. Go to the Setup section.

  2. Select Staff and choose the staff member whose permissions you want to edit.

  3. Go to Profile and click on Edit Profile.

  4. Define the different permissions for the staff member. For example, you can list Jane Lively as an instructor and assign her specific permissions.

  5. Select the role for the staff member. Based on the assigned role, they will have access to the permissions defined under Roles and Privileges.
