How to Merge Duplicate Customer Profiles in Bookee

In this video, we will learn how to merge duplicate customer profiles in Bookee. If you have duplicate customers created with different emails and you want to merge them into one profile, follow these steps:

Step-by-Step Guide

Step 1: Identify Duplicate Profiles

Let's take the example of "Sameric". As you can see, there are two Sameric's with different emails. We will merge the second profile into the first one.

Step 2: Access the Merge Profile Option

  • Open any one of the two profiles.

  • Click on the three dots to access the merge profile option.

Step 3: Select the Profile to Merge

A pop-up will appear. Here, you need to:

  • Select the profile you'd like to merge.

  • If the profile exists in a different location, select "Other Location" and search by email or name.

  • Since both profiles exist in the "Studio Madison" location, select the first option.

  • Bookee will provide suggestions for profiles to merge. Click on the suggested profile or use the search option.

Step 4: Select the Primary Profile

Choose the primary profile you want to retain. Note the following:

  • If both profiles have active subscriptions, you cannot merge them. You can only retain the profile with the active subscription.

  • Cancel the subscriptions on the profile you do not want to retain.

Step 5: Cancel Subscriptions

  • Navigate to "All Customers".

  • Click on the profile where you need to cancel the subscriptions.

  • Click on the three dots against the active subscriptions.

  • Click on "Cancel".

  • Choose to cancel immediately, provide any refunds, or charge a cancellation fee if applicable.

  • Click on "Cancel Subscription".

Step 6: Merge Profiles

  • Go back to the merge profile option.

  • Select the location and the profile you'd like to merge with.

  • Ensure there is only one profile with an active subscription.

  • Select the profile with the active subscription as the primary profile.

Important Points to Note

  • All orders, memberships, and bookings across both contacts will be combined into the primary profile.

  • Payment methods will not be merged. Only the payment method of the primary profile will be retained.

  • The payment method on the secondary profile will be deleted.

  • The customer will need to use the password set up for the primary profile to log in.

Step 7: Confirm the Merge

  • Click on "Merge Contact".

  • Confirm the action. Ensure you are certain about which contact to merge and which to retain as the primary contact, as this action cannot be undone.

Once you confirm, the profiles will be merged successfully.
