Managing Cancellations from the Calendar

While customers can cancel their class or appointment bookings directly from the website or app, you can also manage cancellations right from the calendar. Follow these steps to efficiently handle cancellations:

Step-by-Step Guide to Cancel a Booking

  1. Open the Class or Appointment: Navigate to the class or appointment where you'd like to cancel a booking.

  2. Select the Customer: Click the drop-down beside the customer's name and select Cancel Booking.

  3. Forgive Late Cancellation:

    • If it's a late cancellation, you'll see this indicated above the checkbox.

    • By default, the option to forgive the fee is checked, meaning the customer won't be charged.

    • If you want to apply the fee, simply uncheck the box.

  4. Notification Preferences:

    • The option to not send a notification to the customer is checked by default.

    • This is because most cancellations from CRM are done at the customer's request.

    • If you'd like to notify them, uncheck this box.

  5. Select a Reason for Cancellation: Capturing this information helps analyze patterns over time and understand why cancellations happen.

  6. Finalize the Cancellation: Once you've made your selections, click Cancel Booking.

Post-Cancellation Actions

After the booking is canceled, proceed to the Cancel tab within the class to view all cancellations. Here, you can:

  • Click the info icon next to a customer's name to see the full booking timeline, including when and by whom the booking was canceled.

  • Quickly determine whether each cancellation was a late or free cancellation.
