Before you begin creating appointments on Kenko, it's crucial to update your global appointment settings to ensure everything runs smoothly. Follow this step-by-step guide to configure your settings effectively.
Navigate to General Settings > Bookings > Appointments. Here, you'll find four key settings to configure:
Booking Window
Auto-Submit Attendance
Book for Someone Else
Appointment Cancellation
The booking window controls when customers can book an appointment via the app or website. This helps you manage demand and plan your schedule effectively.
Booking Open: Set a timeframe, such as allowing customers to book only five days before the appointment starts.
Booking Close: Set a timeframe, such as stopping bookings five hours before the appointment starts.
After each appointment begins, staff should check in customers. You can choose to submit attendance manually or let Kenko handle it automatically.
Enter a number and choose between hours or days to define how long after the session start time attendance should be auto-submitted.
We recommend keeping this duration high initially to give your staff enough time to check in customers accurately.
Note: If check-ins aren't completed before auto-submission, a no-show fee may be charged if you've set one. Attendance cannot be reversed, so accuracy is crucial.
This setting is especially useful if you work with children, families, or related accounts.
Allow all appointments to be booked for someone else, or specific appointments only.
This ensures parents or guardians can easily book appointments for their related contacts.
Here, you can decide how the cancellation policy should be handled.
Toggle on to let customers cancel directly through the app or website.
Toggle off if you prefer they contact you to cancel.
Choose the option that best fits your studio's workflow and level of control.
Once you've updated these settings, you're all set to start creating your appointments on Kenko.
