Customers can book individual appointments anytime through your website or app. However, some may prefer recurring appointments, such as a private reformer session every Monday and Thursday, or a personal training session every weekday for a month. In these cases, you can easily set up recurring appointments for them directly from the CRM calendar, keeping their schedule consistent and hassle-free.
Access the Calendar:
To create a recurring appointment for a customer, click Add Event, or simply click directly on the date and time in the calendar.
Select Appointment Details:
Select Appointment.
Choose the appointment service, instructor, and facility.
Set Up Recurrence:
Click Repeat this appointment. Additional settings will appear where you can set how often the appointment should repeat, such as every day, every two days, every week, or every two weeks.
Define Recurrence Schedule:
Set the start date.
Define when the recurrence should end, either after a certain number of appointments or on a specific date, such as the end of the month.
Adjust the start and end times if needed.
Notification Settings:
Choose whether to send a notification to the customer. Ensure the notification is set up under Notifications before triggering it from here.
Create the Schedule:
Once you're happy with the settings, click Create Schedule. If there are any conflicts, review them.
Select Customer:
Click Select Customer and choose who to book.
Payment Options:
Choose how you'd like to charge them. You'll see how many credits are required for all sessions.
If the customer has an active and applicable plan, select it from the drop-down. If not, you can purchase a new plan, use Quick Pay, or choose Charge Later.
Note: If you select Charge Later, you'll need to collect payment individually for each appointment once they attend.
Finalize Booking:
Let's go with Charge Now using credits. Select the plan, click Book, and that's it. All recurring appointments are now added to the calendar.
