How to View and Manage a Customer's Payments

In this guide, we will walk you through the steps to view and manage a customer's payments effectively.

Step 1: Access the Customer's Profile

  • Navigate to the customer's profile.

  • Click on the Payments tab.

Step 2: Review Orders and Payments

  • View a detailed list of all orders and payments over time.

  • Check detailed information for each transaction, including:

    • Order or payment ID

    • Time and date of purchase or sale

    • Items included in the order

    • Total order amount and any dues

  • Click on the info icon for more details about the item purchased, payment breakdown, payment method, date of payment, and notes.

Step 3: Perform Actions on Payments

  • Refund a Payment:

    • Select the relevant order and click on Refund Items.

    • Choose the payment method for the refund and edit the amount if necessary.

    • Click on Refund and confirm the action. Note that this action cannot be reversed.

  • Email the Invoice:

    • If requested, type in the customer's email and hit Send Invoice.

  • View Payment Method:

    • For card payments, click to be redirected to the payment page in your Stripe account linked to Kenko.

  • Collect a Payment:

    • Manually collect a payment or retry collecting for subscriptions.

    • Choose the relevant payment method before charging the customer.

  • Write Off an Amount:

    • Write off part or all of the balance as uncollectible if the customer received the service but payment is not pursued.

    • Edit the amount to write off before confirming the action.

  • Void an Invoice:

    • Cancel the invoice entirely if it was created by mistake or if the service/product was not received.

    • Note that voiding is not reversible, so confirm before proceeding.

By following these steps, you can efficiently view and manage your customer's orders and payments.
