How to Schedule an Appointment from the Calendar

Customers can easily book appointments through your website or app, but some might prefer reaching out to you directly to book instead. In such cases, follow these steps to schedule an appointment from the calendar:

  1. Access the Calendar: Head to the calendar and click on Add Event, then select Appointment.

  2. Direct Date and Time Selection: You can also add events by clicking directly on the desired date and time in the calendar and selecting Appointment.

  3. Select Appointment Details:

    • Choose the appointment service you want to book the customer into.

    • Select the instructor and the facility.

  4. Set Recurrence: Update the recurrence setting. For now, select Does Not Repeat. (Recurring appointments will be covered in another video.)

  5. Confirm Date and Time: If you've already clicked on the right spot in the calendar, the date and time will be pre-populated. Update the start and end time if required.

  6. Send Notification: Choose if you want to send a notification to the customer once the appointment is booked. Ensure the notification is set up under Notifications before triggering it from here.

  7. Check Availability: Click on Check Availability to ensure there are no conflicts with instructor or facility availability.

  8. Select Customer: If there are no conflicts, proceed to select the customer. Type in the name and select the customer from the drop-down menu.

  9. Payment Options: Choose how to charge the customer:

    • Charge with credits now.

    • Charge via quick pay.

    • Charge later.

    For this example, we'll go with charge with credits now.

  10. Select or Purchase Plan: If the customer has an active and applicable plan, select it from the drop-down. If not, purchase a new plan directly from this screen.

  11. Finalize Booking: Once you've selected the plan, click on Book, and the appointment will be added to the calendar.
